The Hollins Information System is divided into several modules: General, Faculty, and Student. You can access the student module directly at this link: https://prodstussb.hollins.edu/StudentSelfService/ssb/studentCommonDashboard Click on ‘Student Profile’. Click on ‘Registration’. Click on ‘Register for Classes’. Select the registration term from the dropdown menu and click ‘Continue’. Use the ‘Find Classes’ tab to search for courses. When you have found a course you want to add, click the ‘Add’ button. Notice the course is added to the summary at the bottom of the page with ‘Pending’ status. Important! Courses you add will be in ‘Pending’ status until you click ‘Submit’ at the bottom of the screen! Click ‘Submit’ to add the selected courses. Banner Data Governance Banner Coordinators Group This group of administrative Banner users facilitates the consistency, integrity, and interoperability of Ellucian Banner system data (including HIS) used by functional areas: Advancement, General, Finance, Human Resources, Financial Aid, and Student. Schedule Banner Coordinators meetings are held the first Wednesday of each month. At least one representative from each functional area should attend every meeting. Procedure The Banner Coordinators make recommendations to Administrative Computing staff related to data in, information about, and issues related to Banner data that affects more than one administrative area. Administrative Computing staff creates an agenda from the items raised by the Banner Coordinators and facilitates the discussion of the agenda during Banner Coordinator meetings. Making audio calls in Teams One of the easiest ways to call people in Teams is to leverage your contacts. Hover over any person in your contact list and click the phone icon to start an audio call with no dialing. Use the People app to add/view contacts To open the People app in Teams, click on the Calls app and then click on View contacts. Pro tip! Launchpoint with no access profile Access profiles use up three access groups and only the fourth access group can be manually assigned: Image of cardholder record in Launchpoint with an access profile Vendor Access External vendors may need access to buildings during their work on campus. Vendors who frequently visit campus should be issued a vendor-specific badge that vendor employees can temporarily check out from Campus Security. Each individual vendor should have its own access group with access limited to the specific doors required to perform their work on campus. For example, a vending machine vendor might need access to the Dana Science Building, but only the loading dock entrance because that is where they will bring drinks or food into the building. Hollins University uses omnilert to provide alert notifications related to inclement weather events and campus emergencies. Active students and employees can subscribe to receive notifications by SMS text message, email, voice message, and the omnilert app. Subscription Expiration The default subscription period is four years, after which you will need to re-subscribe to continue to receive emergency alerts. You will receive email notification from omnilert before your subscription expires. How to Subscribe for Emergency Alerts Create an account Goto the Hollins University Omnilert Subscriber Portal and sign in with your Hollins University username and password. All documents with PII (personally identifiable information) must be protected from loss, theft, or misuse while supporting the Hollins University mission. When reporting to external agencies, the end user must confirm that it is permissible to supply the agency with PII. Data reported to external agencies must be loaded to a secured site/server. PII should never be sent in an email or stored on a shared drive or local hard drives of end users. End Users will develop reports on using the TEST systems for each reporting tool. Current reporting tools are BIQuery, Oracle Discoverer, and Orbit Analytics.

The identification and subsequent “clean-up” of duplicate PIDM records requires a rather lengthy set of procedures. However, when a true duplicate PIDM is identified on the system, the following measures should be taken to prevent further data entry under the duplicate PIDM record. Duplicate PIDM Records in One Area of Responsibility An administrative office systems coordinator (or an office designee) or a Banner System Coordinator should verify the existence of duplicate PIDM records. The first step in the procedure is to review GUASYST (and only certain personnel in each office have access to this form) to see what systems and modules in which each PIDM exists. If the PIDM’s exist only in modules for which the identifying office has responsibility (for example, for Admissions that would be recruiting and admissions modules of the Student System), the affected office should proceed to identify what tables are populated by …
